Airlines are facing a growing headache that has nothing to do with delayed flights or lost luggage. The latest problem sits inside their refund departments, where a surge of fake refund claims is piling up from online booking apps.

The scale of the issue has forced carriers and travel platforms alike to rethink how they verify passenger identities, payment sources, and refund requests.

How the Scam Works

The playbook is simple enough to cause trouble and sophisticated enough to evade quick detection. Fraudsters are using stolen credit card data, fake flight itineraries, and manipulated e-tickets to file refund requests through third-party booking apps.

In some cases, they even exploit the “refund guarantee” or “price protection” features offered by apps that try to make cancellations easier for real travelers.

Once a refund is processed, the money often lands in a temporary account before the airline or app realizes the flight was never actually booked. By that point, the account is already closed or transferred to another digital wallet.

Some airlines have traced coordinated refund abuse to networks that automate claim submission through bots. These systems mimic legitimate traveler behavior, changing names, routes, and times to avoid detection. Customer service teams are left sorting through thousands of claims that look identical to legitimate requests.

Fraud teams now rely on tools like a grammar checker to identify linguistic patterns in fake refund claims that often reveal automated submissions.

In short, the environment is ripe for exploitation. Many airlines that once handled refunds internally now rely on automated workflows or outsourced teams that can’t always spot manipulation quickly enough.

Refund fraud may sound like a corporate problem, but it has ripple effects that reach everyday passengers. Airlines lose revenue and spend millions on chargeback disputes and fraud detection systems. Those costs often show up later in higher ticket prices or reduced promotions.

For travelers, the fallout includes slower legitimate refunds and stricter verification steps. Some carriers now require direct refunds only to the original payment method or demand additional ID verification, frustrating customers who booked through third-party apps.

A few online travel agencies have introduced internal refund dashboards to track and flag unusual patterns. For instance, multiple claims from the same IP address or repeated use of the same traveler name across unrelated bookings can automatically pause a refund until verified.

Behind the technology, the human element still matters. Airlines are retraining refund and claims teams to recognize red flags beyond simple data mismatches. Agents now receive guidance on digital trace analysis, such as spotting disposable email domains or virtual bank accounts linked to past scams.

For now, airlines are caught between two imperatives: protect revenue and maintain customer trust. Balancing both will determine how quickly they can close the refund loopholes that fraudsters continue to exploit.
